Email Basics part 3 Email Tricks, Tips, Shortcuts and Secrets is the focus of this part of basics for gmail. These are some of the most useful that you might want to try. There are lots more but mainly for the advanced user. Also Google makes changes over time, so some of these might not stay the same. I have given you reference links if you want to check out more features. Even some of these have been changed by Google since they were written. That is why I have list the current features as of this podcast. Keyboard Shortcuts: Ctrl + b | Make your text bold. Ctrl + i | Make your text italicized. Ctrl + u | Make your text underlined. Shortcuts below need to be manually turned on first. Click on Gear icon upper right corner and select Settings. Down to Keyboard Shortcuts on General tab, switch them on, then scroll down and Save Changes at the bottom. Shift + i | Mark as read. Shift + u | Mark as unread. Ctrl + s | Save draft. shift + # | to trash. And many more... Organize your email with labels - is just like folders, while still displaying messages side-by-side. Click on checkbox next to a message, then click the Labels button(looks like black price tag). Then you can use default labels or Create new. Under New Label put in what you want for Please enter a new label name:, then check Nest label under: if you want, choices on pull-down menu. Or go back to Labels button and chose Manage labels to create your own. Another way is to click on Gear icon upper right corner, Settings then Labels tab to manage. Using Search Bar for All based on selection or Search bar dropdown menu on right: From: | Messages from a specific sender To: | Messages sent to a specific recipient. OR | Messages with term A or B. OR must be in all caps. In:anywhere | Messages anywhere in Gmail (including Trash and Spam). Is:starred | Starred messages Is:unread | Unread messages Has:Attachment | Messages with attachments. And many more... Labs tab in Settings (Enable these then down to bottom and Save Changes: Canned Responses - Used to save and then send your common messages using a button next to the compose form. Also automatically send emails using filters. Google Calendar gadget - Adds a box in the left column which shows your Google Calendar. See upcoming events, locations, and details. Undo Send - Oops, hit Send too soon? Stop messages from being sent for a few seconds after hitting the send button. Under General tab in Settings you can change the time to undo from 5 - 30 seconds, remember to Save Changes at the bottom. Starred Messages - (Settings, General tab 1 Star, 4 Stars or All Stars then Save Changes. Select messages with checkbox on left then click on More icon at top, then select Add Star. Display settings - change with Gear icon upper right corner, Comfortable, Cozy or Compact. You will have to try these to see what you like. Archiving mail - keeps inbox clean without deleting important messages. Select messages with checkbox on left then click on first icon at top for Archive. You can also click on Select All to Archive everything in Inbox. You can find messages with Search bar with dropdown menu on right of Search bar. Do you think someone else is reading your email? to check go to bottom right of inbox, you will see Last account activity:, then select Details to see. If it shows more than one IP address then maybe you should worry unless you signed into it from another location. Use 2-Step Verification for a safer login. Click gear icon, Settings, Accounts and Import tab, Change account settings:, Other Google Account settings, you might have to enter password for gmail again. Under Signing In click on 2-Step Verification. With a cell phone you can set for receiving text to get a code sent. If none set then click on Edit and add one. You can also have it do a voice call instead by clicking to right of Codes sent via:, this is good if you only have a landline instead of mobile phone.
